Boosters Meeting Minutes December 6, 2021 7:00 p.m.

ELHS Guitar Room

November minutes are voted on and approved.

  • NEXT YEAR BOARD POSITIONS - It would be important for those interested to shadow open positions NEXT YEAR which include President, VP, secretary, Fundraising, Publicity. Current Board members have the option to choose position of choice.

  • FROZEN- 4 shows, matinee on Saturday; It is recommended that fees are due by 12/15 so that T-shirts can be ordered; Fees will be collected via check (drop box at school) or Boosters website; donation button will be on the link (to the Boosters Website);

Kim has asked for a tech day on 1/15/22 and hoping most building will get done at school; if food is needed that day (for adults) then Boosters can assist;

Katy Horton is student publicity and needs to get the POSTER flyer made-

Needed is an ADult volunteer to do Publicity for just Frozen including contacting the Marquis and arranging with the Gas station for location of sign;

The school day field trip (10:30 start) for elementary schools is January 25th. If volunteers/boosters are available this day in the morning to assist with the FLOW it would help Ms. Florio.

Frozen Banner is ordered and should be available this Friday to display at PRISM - PRISM - concert this Friday-

  • GODSPELL - Students hope to schedule preferably this 2/18-19 OR early March, and 2 night showing- TIckets will go through GoFan and school account as Kim must pay for the Show. Sr. show is all student run, would like to reuse Frozen set and rehearsals should not impact Frozen rehearsals. Juniors are assisting with tech etc. supporting and to learn. It is seen as a resume builder for the students.

  • 9 TO 5 - production meeting is scheduled for after school on 12/14/21

  • BANQUET- May 15 at 2 pm is suggested date, even though this is a Sunday. We are currently looking for a venue and a committee is being formed. If you are interested in assisting with the banquet please email Amanda.

Final SnapRaise $14,554.80

Clue Silent Auction - $1,693.36 (this includes the costs -$123.02)

CLUE Profit - $3,360.87 this is a preliminary number and will change as expenses are submitted.

Shannon requests a person to oversee the monthly review of the bank statements. This must be someone who does not have check signing ability.

Secretary Amanda Long-

  • SENIOR JACKETS- STudents received; Bella explains the possibility of ordering pins for each show to add to their jacket.

  • Email letter for FROZEN production fees- put together spreadsheet with JUST cast/crew for this production

  • Digital Shout outs for FROZEN email reminder due: _1/15/21____ please fill out (Boosters website - To be created)

  • Hard copy Program to be created

  • Share thank yous to T-shirt sponsor and others donors

Concessions Sara Claudio/Tara Allen

  • Friday 12/10 Prism Concert Popcorn - with sticker of Frozen on the bag to promote Frozen

  • Previous discussion was had to raise the concessions budget for Frozen( and 9 to5) tech day to accommodate for one meal.

  • Tara is working with Nancy on design and materials for Olaf headbands to sell- $3.00

  • Tech week for Frozen 18, 19, 21, 24 Amanda will create sign up genius for exactly what we need for these dates including an adult monitor to assist with food/behavior. Suggestion to fill Orange water cooler Dinner provided by the Boosters between matinee (29th) and night show .

  • Suggestion was made to include a personalized water bottle included in the production fee for the shows to support personal water usage vs. volunteers bringing indiv. Water plastic bottles.

Fundraising OPEN-

  • Sarah raises the idea of the Spring garage sale scheduled Saturday February 26th- this could be something we can reach out to other departments to donate items. volunteers to receive donations with drop off on 5th, 12th Saturdays possibly in the Theater or a POD (can Rand price this?) and Venue would be the ELHS parking lot- or rain day back up in the Theater Lobby- possibly a Survey Monkey to be sent out to theater families to generate interest.

Costumes- Kristin Gallagher

  • Costumes for Frozen -

  • Sewing club is going strong (T/TR )and they have offered to assist with future costuming

Props - Natasha Gallaty -

  • No updates

Tech/Set Bryan Stotts - Tech day is scheduled for 1/15/22; Tech has 4 flats built already from ONe Acts, will need 4 more, and a stair unit on wheels; 3 DROPS are ordered; 2 PUsh carts; Production meeting scheduled for 12/14/21 with students after school.

Publicity Open -

  • Price for marquee sign has doubled- FROZEN previously discussed getting it and finding location for it (typically in front of the SHELL station at Ridgemoor) We need someone to coordinate this. Along with displaying flyers throughout the community in business et.

  • Amanda will contact ELHS secretary to coordinate adding this date to School website

Silent Auction - Tara Allen/ Randi Horton No silent auction for Frozen. Will do auction for 9 to 5

Ms. Florio-

Student Officers-

  • Next club meeting? Need food?- This Wednesday

  • 12/11 student event - Christmas Movie Night with snacks/and PJ’s-5-8:30 - Students Bella requests HOT Water Dispenser and Bella will provide the Hot Chocolate and Boosters can provide Cups. Tara will need to go to Cosco to purchase more paper cups for concessions. PARENTS monitoring is requested as well. (put this into the Minutes email by Wednesday)

  • Bella states there are a lot of students who want to induct into Thespians.

New Business

  • 9 to 5 dates have been changed on the calendar so it will not conflict with PROM May 5,6,7- Broadway Stars will be invited during original show prep (dress rehearsal) and AUDIENCE is needed for this day - before the end of April and it will be in the evening- Kim will remind the parents

  • For Clue: Nominated for Broadway Stars were Sarah for stage management, Carli and Nicki for set design, Ava and Arista for Costumes.

  • Discussion was had for holding an early in the year parent meeting regarding FTC and DISTRICTS so that these events are explained thoroughly so that when registration and monies are required there is little confusion with families.

Other Business

  • Yearbook ad - do we want to take out an ad congratulating the drama department seniors? Cost - full page $350, half page $200, ¼ page $175, ⅛ page $75

  • End of Year Banquet - would be great to get a committee formed to start planning 5/15/22 is the suggested date. Amanda will look into Crescent Oaks, Eastlake, cypress run, - fees collected should = 1000 (per budget) and negotiate venue (past Budget 2K). Estimating 300 people. Students plus 2 additional tickets
